Rental property handover report

The handover-acceptance report is a form for recording the condition of rented premises, meter readings and keys — both when the premises are handed over to the tenant and when they are returned to the landlord.

What is this contract?

A handover-acceptance report is evidence of the condition the rented premises were in at one specific moment. It is not a contract and does not change the terms of the rental agreement — it records facts: the condition of the rooms, the electricity and water readings, the number of keys, the furnishings handed over and the state of the security deposit. These are exactly the things that most often cause disputes when a tenancy ends, and without a report it is one party's word against the other's. The report is drawn up twice: when the premises are handed over and when they are returned, and comparing the two shows what happened in between.

Frequently asked questions

Is a handover report mandatory?

The law does not require it, but without one it is practically impossible to prove at the end of the tenancy what condition the premises were handed over in — it is the most common cause of security deposit disputes.

Does a report also have to be made when the premises are returned?

Yes, and that is the whole point. Only comparing the two reports shows what changed during the tenancy and what is normal wear and tear.

Are photos necessary?

Highly recommended. The form lets you note that the condition is documented with photos, and in that case the photos are an integral part of the report.
